1. Agreement

By purchasing, subscribing to, or using any services or products provided by Next Gen X Systems (“we”, “us”, “our”), you agree to these Terms & Conditions.


If you do not agree, you must not access or use our services.

These Terms apply to all Voice AI Receptionist services, AI automation systems, workflows, integrations, software access, and related digital assets provided by Next Gen X Systems.

2. Services Provided

Next Gen X Systems provides:

- AI Voice Receptionist services (including call answering, call routing, appointment handling, and conversational AI)

- Business automation workflows

- CRM and communications automation

- AI-powered messaging, lead capture, and follow-up systems

- Digital assets, scripts, configurations, and system templates

(collectively referred to as the “Services”).

3. Licence & Permitted Use

Upon payment, we grant you a non-exclusive, non-transferable commercial licence to use the Services for your own business operations and client interactions.

You may:

- Use the Voice AI and automation systems within your business

- Deploy the systems to handle customer enquiries and internal workflows

- Customise configurations for your business needs

You may not:

- Resell, sublicense, or white-label the Services without written permission

- Share system access, credentials, or backend configurations with third parties

- Claim ownership of the underlying software, workflows, or AI models

4. Client Responsibilities

You acknowledge and agree that:

- You are responsible for how the Services are used within your business

- You must ensure all use complies with applicable laws, including data protection, privacy, and telecoms regulations

- You must inform callers and users that AI technology may be used during calls or interactions where required by law

- You are solely responsible for the accuracy of information provided to the system and for monitoring outputs.

5. Voice AI, Data Collection & GDPR

Our Voice AI services may process:

- Call audio

- Call transcripts

- Contact details (e.g. names, phone numbers, emails)

- Appointment and enquiry information

Data Protection & GDPR

Next Gen X Systems acts as a Data Processor

You (the client) act as the Data Controller

Data is processed only for the purpose of delivering the Services

We implement appropriate technical and organisational measures to protect data

You are responsible for:

- Lawful basis for processing personal data

- Updating your privacy policy to disclose AI use

- Providing required call disclosures (e.g. “calls may be recorded or handled by AI”)

- Managing data subject rights requests

- We do not sell or misuse data. Data is retained only as required to deliver the Services or comply with legal obligations.

6. Payments & Access

Fees are payable as agreed at checkout or in your service agreement

Access to Services is granted after payment is confirmed

Late or missed payments may result in suspension or termination of access

You must not share login details or system access.

7. No Refund Policy

Due to the nature of digital services, system configuration, and immediate access:

All payments are final and non-refundable.

Once Services are activated, configured, or accessed, refunds will not be issued under any circumstances.

8. Service Availability & Limitations

While we aim for high availability, we do not guarantee:

- Uninterrupted service

- Error-free AI responses

- Specific business outcomes or revenue results

- AI outputs may vary and should be reviewed periodically.

9. Intellectual Property

All software, systems, workflows, automations, scripts, and configurations remain the intellectual property of Next Gen X Systems.

You receive a licence to use — not ownership.

10. Limitation of Liability

To the maximum extent permitted by law:

- We are not liable for indirect, incidental, or consequential losses

- We are not responsible for missed calls, lost leads, or business decisions made using AI outputs

- Total liability is limited to the fees paid in the preceding 3 months

11. Termination

We reserve the right to suspend or terminate access if:

- Terms are breached

- Services are misused

- Payment obligations are not met

- Use is unlawful or unethical

12. Changes to Terms

We may update these Terms from time to time. Continued use of the Services constitutes acceptance of updated Terms.

13. Governing Law

These Terms are governed by the laws of England and Wales.
Any disputes will fall under the jurisdiction of the English courts.
